OX Adventure Terms and Conditions
1. Agreement and who these terms apply to
By booking an experience, paying a deposit, joining a waitlist that converts to a booking, or submitting an experience application that we accept, you agree to these Terms and Conditions.
If you book for other people, you confirm you have their permission and you accept responsibility for ensuring they understand and follow these terms.
2. Definitions
Trip means the OX Adventure itinerary shown on the trip page and any trip pack we send you.
Trip Pack means the trip page, itinerary, inclusions, exclusions, pre-trip emails, forms, and these terms.
Deposit means the upfront amount required to secure a place.
Start Date means the first day of the Trip in the destination.
Add-ons means optional extras you purchase through us, such as extra nights or optional activities.
3. Eligibility, age, and authority to book
Minimum age to join a Trip is [18] unless the trip page states otherwise.
If a participant is under 18, a parent or legal guardian must sign all required consents and waivers, and may be required to travel with them depending on the Trip.
4. What is included and what is not included
Your Trip includes only what is listed under “Included” on the specific trip page and Trip Pack.
Unless stated otherwise, Trips typically do not include:
• International flights.
• Travel insurance and medical insurance.
• Visas, vaccinations, and personal medication.
• Personal equipment and gear.
• Tips and gratuities.
• Meals not explicitly listed as included.
• Any costs outside the official itinerary dates.
5. Booking, confirmation, and payment
5.1 Confirmation
A place is confirmed only when we receive the Deposit and we email you a booking confirmation.
5.2 Deposit
The Deposit is non refundable except where we cancel the Trip as described in section 8.

5.3 Balance payment
The remaining balance is due 60 days before departure unless the trip page states a different timeline.
Bookings made within 60 days of departure require full payment at the time of booking.
5.4 Payment methods
We accept [card, bank transfer, payment link, other]. If fees apply (bank fees, card processing fees, currency conversion fees), you are responsible for them.
5.5 Installment plans (optional)
If we offer installments for a Trip, the installment schedule will be shown at checkout or agreed by email. If an installment is missed, we may treat the booking as cancelled under section 7.
6. Pricing, currency, and surcharges
Prices are shown in [KWD] unless stated otherwise.
If exchange rates, transport costs, permits, taxes, or supplier rates change materially, we may adjust the Trip price for unpaid balances. We will not increase the price within 28 days of departure unless required by law or supplier mandate.
If a price increase exceeds [5 percent], you may cancel within [7 days] of notice for a full refund of amounts paid.
7. Changes and cancellations by you
7.1 Changing a booking
If you want to change dates, switch trips, or transfer to another person, contact us. We will try to help, but we do not guarantee availability.
We may charge an admin fee, and any supplier fees and price differences.
7.2 Transfer to another person
Transfers may be allowed up to [20] days before departure if the new person meets Trip requirements and completes all forms. Transfers are not valid if flights, permits, or supplier tickets are non transferable.
7.3 Cancellation policy
Cancellation becomes effective when we receive your written notice by email from the lead booker.
Refunds, if any, are calculated as a percentage of the Trip price excluding non refundable costs (for example flights, permits, supplier deposits, and processing fees).
- 60 days or more before departure: refund of amounts paid minus Deposit.
- 30 to 59 days before departure: 50 percent refund of Trip price paid.
- 15 to 29 days before departure: 25 percent refund of Trip price paid.
- Less than 15 days before departure: no refund.
7.4 No shows and early departures
If you do not arrive on time, miss a departure, or leave early for any reason, no refund is due and you cover any extra costs.
7.5 Travel insurance
We strongly recommend cancellation coverage that matches your risk tolerance. If your Trip requires insurance, it is mandatory under section 10.
8. Changes and cancellations by us
We may modify a Trip itinerary when needed for safety, weather, road closures, political conditions, supplier issues, operational constraints, or any factor outside our control.
8.1 Minor changes
We may make minor changes that do not materially reduce the Trip.
8.2 Significant changes before departure
If we make a significant change before departure, we will offer one of the following:
- A comparable alternative Trip or date (price adjusted up or down).
- A credit voucher.
- A full refund of amounts paid to OX for the Trip (excluding third party costs already incurred and disclosed as non refundable).
8.3 Trip cancellation by OX
If we cancel a Trip, you can choose a full refund of amounts paid to OX or a credit toward a future Trip.
8.4 Minimum numbers
Some Trips require a minimum number of participants. If we cancel due to minimum numbers, we follow section 8.3.
9. Add-ons and extra nights
Add-ons are only those purchased directly through OX.
- Add-ons may be limited by availability. If an add-on becomes unavailable, we will refund that add-on.
- If you book extras directly with hotels, guides, or platforms, those are your responsibility and are not part of our contract.
10. Health, fitness, and required forms
Adventure travel is physically demanding. By booking, you confirm:
- You meet the stated fitness level on the trip page.
- You disclosed relevant medical conditions truthfully.
- You will follow safety instructions from guides and Trip Leaders.
- You will complete required forms by the deadline (passport details, emergency contact, health notes, insurance proof if required).
We may refuse participation, or remove you from the Trip, if your health, fitness, or conduct creates a safety risk. In that case, no refund is due.
11. Assumption of risk and waivers
You understand that adventure travel involves inherent risks, including injury, illness, altitude effects, remote terrain, wildlife, extreme weather, and limited medical access.
You may be required to sign a Trip Waiver before departure. Refusal to sign may result in cancellation without refund.
12. Travel documents, visas, and entry denial
You are responsible for:
- A passport valid at least 6 months ahead of travel dates.
- All visas and entry requirements.
- Any vaccinations or medical documents required by the destination.
If you are denied entry for any reason, no refund is due.
13. Conduct, community standards, and removal
You must treat other participants, staff, local teams, and communities with respect.
We have zero tolerance for harassment, discrimination, threats, violence, or repeated disruption. We may remove you from a Trip without refund if your behaviour compromises safety or the experience of others.
14. Photography and media
We may take photos and videos during Trips for marketing and documentation.
By joining, you grant permission for us to use this content unless you opt-out in writing before departure. If you opt-out, we will make reasonable efforts to avoid featuring you, but we cannot guarantee exclusion from all background shots in public places.
15. Complaints and problem resolution
If something is wrong during the Trip, tell the Trip Leader immediately so we can attempt to fix it.
If you want to file a formal complaint, email info@oxadventure.com within 30 days after the Trip ends. We will acknowledge and respond within a reasonable timeframe.
16. Liability limitations
To the fullest extent permitted by law:
- We are not liable for events outside our control, including force majeure, weather, civil unrest, supplier failures, and transport delays.
- We are not liable for services you book independently.
- We are not liable for indirect losses such as loss of enjoyment, loss of profit, or missed onward travel.
Where we are legally liable, our maximum liability is limited to the Trip price paid to OX, unless a higher limit is required by law.
17. Data protection
We process personal data according to our Privacy Policy. This includes passport data, emergency contacts, and limited health information needed to run Trips safely.
18. Governing law and disputes
These Terms are governed by the laws of the State of Kuwait. Any dispute arising out of or in connection with these Terms or any booking shall be subject to the exclusive jurisdiction of the competent courts of the State of Kuwait.
19. Updates to these terms
We may update these terms from time to time. The version published on our website at the time you book applies to your booking.
